Make/buy cake(s) or equivalent for us all to enjoy.
Prior to the meeting (prior to 13.15 that day): Organize the chairs in such a manner that we can fit as many people in the corner office as possible. Borrow chairs from the Dr.ing-student-offices in order to fill the capacity of the corner office.
Make coffee (at least two pots).
Make sure there are plates and cups to eat and drink from. If not there is storage under the bookshelf beside the coffee- machine. If the storage is empty as well, contact the secretaries.
If you do not bring a cake server, one can be borrowed from the canteen. Make sure to wash it and bring it back after use.
